How to create an email signature
Set up your email signature in three steps. No design skills or HTML code needed, and you can make as many signatures as you like.
Pair your signature with a digital business card
A signature fits a few lines. A ProIntro card holds the rest: every contact detail, your links and a save-to-contacts button. Put a "View my digital business card" link or QR code under your signature and every email you send shares it.

How to add a signature in Gmail
Copy your signature, then follow the steps for your mail app. It takes about a minute.
Gmail
- 1In Gmail on the web, click the gear icon and choose See all settings.
- 2On the General tab, scroll to Signature and click Create new. Give it a name.
- 3Click in the signature box and paste (Ctrl+V or Cmd+V).
- 4Under Signature defaults, pick it for new emails and replies.
- 5Scroll to the bottom and click Save Changes.
Paste straight into the signature box. If the formatting drops, you probably pasted as plain text: use Copy HTML and your mail app's HTML option instead.

01How do I add a signature in Gmail?
Click the gear icon, choose See all settings, and scroll to Signature on the General tab. Click Create new, paste your signature, set it as the default for new emails and replies, then click Save Changes at the bottom.
02Does it work with Google Workspace?
Yes. Workspace accounts use the same Gmail settings. If your admin manages signatures centrally, ask them to paste it in for you.
03Can I use the signature in the Gmail app on my phone?
The Gmail app has its own mobile signature setting, which is plain text only. Emails you send from Gmail on the web carry your full signature with photo and icons.
04Why is my Gmail signature cut off with three dots?
Gmail hides repeated content in long email threads. It's still there: click the three dots to show it. New emails show the full signature.
05How do I change my email signature in Gmail?
Open Settings, See all settings, and scroll to Signature on the General tab. Click the signature you want to change, select everything in the box, paste your new one over it and click Save Changes.
06Is this email signature generator free?
Yes. You can create, edit and copy as many signatures as you like without paying or signing up. A free account is only needed to upload a photo or logo, because images in emails have to be hosted online. Free signatures end with a small “Made with ProIntro” line, which ProIntro Pro removes.
07Which email apps does it work with?
Gmail, Outlook (web, new Outlook and classic Outlook for Windows), Apple Mail on Mac and iPhone, and most others that let you paste a formatted signature. Every template is HTML built with tables and inline styles, which is what email apps expect.
08Why does my photo need to be uploaded?
Email apps don't embed images from your computer. They load them from a web address when the email is opened. When you upload a photo or logo we host it and put that address in your signature, so it shows up for everyone.
