How to create an email signature
Set up your email signature in three steps. No design skills or HTML code needed, and you can make as many signatures as you like.
Pair your signature with a digital business card

How to add your signature to Gmail, Outlook, Apple Mail and iPhone
Copy your signature, then follow the steps for your mail app. It takes about a minute.
Gmail
- 1In Gmail on the web, click the gear icon and choose See all settings.
- 2On the General tab, scroll to Signature and click Create new. Give it a name.
- 3Click in the signature box and paste (Ctrl+V or Cmd+V).
- 4Under Signature defaults, pick it for new emails and replies.
- 5Scroll to the bottom and click Save Changes.

Outlook on the web and new Outlook
- 1Open Settings (the gear icon) and go to Account, then Signatures.
- 2Click New signature and give it a name.

Apple Mail on Mac
- 1Open Mail, then Settings (Preferences on older macOS), then Signatures.
- 2Select your account and click + to add a signature.
- 3Untick "Always match my default message font".
- 4Click in the right-hand box, select what's there and paste with Cmd+V.
- 5Close the window. Pick the signature from the Signature menu when you write.

Apple Mail on iPhone and iPad
- 1Copy your signature on your phone, then open the Settings app (not Mail).
- 2Go to Apps, then Mail, then Signature. On older iOS versions, Mail is listed directly in Settings.
- 3Choose Per Account if you have more than one, tap in the box, clear it and paste.
- 4If the formatting drops out, shake your iPhone right away and tap Undo to bring it back.
- 5Tap back to save. Mail adds the signature to every new email you write on your phone.

01Is this email signature generator free?
Yes. You can create, edit and copy as many signatures as you like without paying or signing up. A free account is only needed to upload a photo or logo, because images in emails have to be hosted online. Free signatures end with a small “Made with ProIntro” line, which ProIntro Pro removes.
02Which email apps does it work with?
Gmail, Outlook (web, new Outlook and classic Outlook for Windows), Apple Mail on Mac and iPhone, and most others that let you paste a formatted signature. Every template is HTML built with tables and inline styles, which is what email apps expect.
03Why does my photo need to be uploaded?
Email apps don't embed images from your computer. They load them from a web address when the email is opened. When you upload a photo or logo we host it and put that address in your signature, so it shows up for everyone.
04Can I add social media icons?
Yes. LinkedIn, X, Instagram, Facebook, YouTube, TikTok, GitHub and a booking link, in filled or outline style, colored to match your brand.
05Can I add a QR code to my email signature?
Yes, once you have a free ProIntro digital business card. The QR code opens your card so people can save your contact details in one tap.
06What size should an email signature be?
Around 400 to 480 pixels wide and no more than six or seven lines. That format reads well in mobile inboxes and stays compact in long reply threads. The templates here stay inside that size and use standard fonts, so they look right on phones too.
07Can I edit my signature later?
Your signature is saved in this browser, so you can come back, change it and copy it again. To edit it on another device, save it to a free ProIntro account. Then paste the new version over the old one in your mail app.
08What is an email signature?
The block at the bottom of an email with your name, job title, company and contact details, often with a photo, logo and social media links. Once you set it up, your mail app adds it to every new email, so people always know who wrote and how to reach you.
